Privacy Policy
This policy explains what personal data PressPros LLC collects through presspros.io and the LeaseFox plugin, why we collect it, who we share it with, and the rights you have over it — including your rights under the EU/UK General Data Protection Regulation (GDPR) and US state privacy laws such as the California Consumer Privacy Act (CCPA/CPRA).
01 Who We Are
PressPros LLC (“PressPros,” “we,” “us,” or “our”) is the data controller responsible for personal data collected through presspros.io, our demo site at propertymanagement.presspros.io, and our sales and support processes for the LeaseFox property management plugin and related add-ons.
Registered address: PressPros LLC, Tennessee, USA. · Email: info@presspros.io
02 Scope of This Policy
This policy covers personal data we collect when you:
- Browse presspros.io or our demo site;
- Submit a form, chat with our on-site assistant, or otherwise message us;
- Subscribe to our newsletter;
- Purchase a LeaseFox license, add-on, or support subscription through our shop;
- Create or manage an account with us for license and update delivery;
- Run a licensed copy of LeaseFox that contacts presspros.io to validate its license.
It does not cover personal data that landlords, agents, or property managers collect from their own tenants inside a LeaseFox installation — see Section 10 for how that’s handled.

| LeaseFox license validation | License key, site URL, and LeaseFox, PHP, and WordPress version numbers — never tenant, property, or invoice data |
04 Our Legal Basis for Processing
Where GDPR applies, we rely on one of the following legal bases for each use of your data:
- Contract — processing needed to sell you a license, validate it, deliver updates, or provide support you’ve requested.
- Consent — for analytics and advertising cookies/pixels and for marketing emails. These are off until you actively opt in, and you can withdraw consent at any time.
- Legitimate interests — responding to contact-form and chat inquiries, keeping our site secure and preventing fraud, and keeping records that prove your cookie choices, balanced against your right to privacy.
- Legal obligation — data we must keep for tax, accounting, or consumer-protection purposes.
05 How We Use Your Data
- To process purchases, issue and validate license keys, and deliver plugin updates and support;
- To respond to contact-form messages, chat conversations, support tickets, and call bookings;
- To send license-related and transactional emails (receipts, renewal reminders, security notices);
- With your separate opt-in, to send occasional product news or marketing emails, which you can unsubscribe from at any time;
- With your consent, to understand how visitors use our site and demo so we can improve them;
- With your consent, to measure the performance of our ads and show our ads to people who have visited our site;
- To detect, investigate, and prevent fraud, abuse, or security incidents;
- To comply with legal, tax, and accounting obligations.
We do not use your personal data for automated decision-making that produces legal or similarly significant effects on you.
08 International Data Transfers
PressPros is based in the United States. If you access our services from the EU, UK, or elsewhere outside the US, your data will be transferred to and processed in the United States. Where GDPR requires it, we rely on appropriate safeguards for these transfers: the EU-U.S. Data Privacy Framework (and its UK Extension) for providers certified under it, or Standard Contractual Clauses (and the UK Addendum) with our other processors.
09 How Long We Keep Data
- Purchase and account records — for as long as your license is active, and afterward as required for tax and accounting purposes (typically up to 7 years).
- Contact-form, chat, and support messages — for as long as needed to resolve your inquiry and for a reasonable period afterward for reference (normally no more than 24 months), then deleted or anonymized.
- Newsletter subscriptions — until you unsubscribe or ask us to delete your data.
- Analytics data — for the retention period configured in Google Analytics, which is no longer than 14 months; other analytics tools keep only aggregated reports.
- Cookie-consent records — an anonymous record of each choice (consent ID, categories, date, page) for 2 years, so we can show that consent was given.
10 Data Processed by LeaseFox on Your Site
LeaseFox is self-hosted software that runs on your own WordPress installation. Tenant profiles, lease details, rent records, invoices, and maintenance requests entered into LeaseFox are stored in your database, on your hosting — PressPros does not receive, store, or have access to that data. As the operator of that site, you (not PressPros) are the data controller for the tenant and property data your installation collects, and you’re responsible for your own compliance with the privacy laws that apply to your tenants.
The only data a LeaseFox installation sends to PressPros is the license validation request described in Section 3 (license key, site URL, and version numbers). In addition, features you choose to enable on your site send data directly to third parties under their own privacy policies:
- Google Maps — if a property’s public listing page has a map enabled, that property’s address is sent to Google to render it.
- AI tools — if you use LeaseFox’s AI features, only the text you enter in each tool’s form is sent to Anthropic for processing. Avoid including tenant personal details you don’t need to.
11 Your Rights Under GDPR
If you’re located in the EU, UK, or another jurisdiction with similar protections, you have the right to:
- Access the personal data we hold about you;
- Rectify inaccurate or incomplete data;
- Erase your data (“right to be forgotten”), subject to our legal retention obligations;
- Restrict or object to certain processing, including processing based on legitimate interests — and object to direct marketing at any time;
- Data portability — receive your data in a structured, machine-readable format;
- Withdraw consent at any time for anything we process based on consent, such as analytics and marketing cookies or marketing email, without affecting the lawfulness of processing before withdrawal;
- Lodge a complaint with your local data protection supervisory authority.
To exercise any of these rights, contact us using the details in Section 16. We’ll respond within one month, as GDPR requires. We may need to verify your identity before acting on a request. If your request concerns cookie choices, including the Consent ID shown in the cookie panel’s “Customize” view helps us find your record.
12 Your US State Privacy Rights
This section applies to residents of California and other US states with comprehensive privacy laws (including Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Tennessee, and others), to the extent those laws apply to us.

Your rights
- Know / access the personal information we’ve collected about you and how we use and disclose it;
- Delete personal information we’ve collected from you, subject to legal exceptions;
- Correct inaccurate personal information;
- Opt out of the “sale” or “sharing” of personal information and of targeted advertising;
- Limit the use of sensitive personal information — we use it only for purposes the law already permits, so no further action is needed;
- Non-discrimination — we won’t deny you service, charge different prices, or provide a different quality of service because you exercised these rights. We don’t offer financial incentives in exchange for personal information.
How to opt out of sale or sharing
Click Your Privacy Choices (also in the footer of every page) and turn off Marketing, or enable Global Privacy Control in your browser — we honor it automatically. We don’t knowingly sell or share the personal information of consumers under 16.
How to make a request
Email info@presspros.io with the subject “Privacy request,” or use our contact page. We’ll confirm receipt within 10 business days and respond within 45 days (extendable once by another 45 days where the law allows, with notice). To protect you, we’ll verify your identity by matching information you provide with what we hold — usually your account or order email. You may use an authorized agent; we’ll ask for proof of the agent’s authority and may confirm your identity directly with you.
Appeals. If we decline your request, you can appeal by replying to our decision with the subject “Privacy appeal.” We’ll respond within the time required by your state’s law (generally 45–60 days). If you’re not satisfied, you may contact your state Attorney General.
13 Security
We use reasonable technical and organizational measures to protect personal data, including encrypted connections (HTTPS), restricted access to customer records, and reputable, security-audited processors for payments and hosting. No system is completely secure and we can’t guarantee absolute security, but we work to minimize risk and will notify affected users and, where required, regulators, if a data breach affects your personal data.
14 Children’s Privacy
Our services are intended for businesses and individuals aged 18 and over. We do not knowingly collect personal data from children. If you believe a child has provided us with personal data, contact us and we’ll delete it.
15 Changes to This Policy
We may update this policy from time to time to reflect changes in our practices or legal requirements. We’ll update the “Last updated” date above. If changes are material — for example, new categories of cookies — we’ll give additional notice, such as asking for your cookie choices again or emailing registered customers.
16 Contact & Complaints
For questions about this policy or to exercise your data rights, contact PressPros LLC at info@presspros.io or through presspros.io/contact.
If you’re in the EU or UK and believe we haven’t adequately addressed your concern, you have the right to lodge a complaint with your local data protection authority (for example, your national Data Protection Authority in the EU, or the UK’s Information Commissioner’s Office).
